Lifecycle of Scope Certificates (SCs)
A new Scope Certificate (SC) may be revised at any time, as well as go through the following stages during its lifetime:
- its validity may be extended or recertified;
- it may expire;
- it may be suspended; or
- it may be withdrawn.
This article focuses on the four statuses presented above. See Creating a New Scope Certificate for further information on the first stage.
RECERTIFICATION
Before You Start
When you are the CB Approver and any of the following conditions apply to the selected SC:
- 60 days or less before and 90 days or less after the expiry date;
- Before the end of the current validity period or 90 days after it, in the case the Certified Entity applied directly;
A Recertify button will be enabled at the button of the Scope Certificate page.
How to Extend the Validity of a Scope Certificate (SC)
- Go to Scope Certificates > All.
- Choose the relevant SC and hover over its name.
- Click on Show details to open the Scope Certificate page.
- On the Basic data tab, scroll down to find the newly enabled button.
- Click on Recertify and agree to the pop-up message that follows. This will immediately duplicate the SC for further editing in draft mode.
The status of the new SC will remain as draft until approval. Once approved, it will go through the following stages:
- Pending until the previous SC expires.
- Valid if the previous SC has already expired.
The valid status will remain for one year after the expiry date of the old SC, regardless of when the new SC was approved.
After the SC changes statuses, a notification to the SCO will be sent out by e-mail. To ensure the message reaches the right person, please keep the following information up to date on the SCO contact page – see Quick Guide for more details.
EXPIRY
Good to Know
When the following conditions are met, a Scope Certificate will automatically expire:
- Recertification expected box at the bottom of the Scope Certificate page is unchecked
- Valid until date has already past
Once expired, an SC can no longer be withdrawn from GTB.
On the date of the SC expiry, a notification to the SCO will be sent out by e-mail. To ensure the message reaches the right person, please keep the following information up to date on the SCO contact page – see Quick Guide for more details.
SUSPENSION & WITHDRAWAL
Before You Start
You may need to suspend or withdraw a Scope Certificate, for example, in cases of incorrect use or accidental duplication.
How to Suspend a Scope Certificate (SC)
- Go to Scope Certificates > All.
- Choose the relevant SC and hover over its name.
- Click on Show details to open the Scope Certificate page.
- On the Basic data tab, scroll down to the Status field.
- Change the status to Suspended and save changes.
IMPORTANT: Suspension may be undone, withdrawal cannot.
How to Withdraw a Scope Certificate (SC)
Only suspended SCs (status Suspended) can be withdrawn.
- Go to Scope Certificates > All.
- Choose the relevant SC and hover over its name.
- Click on Show details to open the Scope Certificate page.
- On the Basic data tab, scroll down to the Status field.
- Change the status to Withdrawn and save changes.
IMPORTANT: The withdrawal of an SC is final and cannot be undone. The information on a withdrawn SC can no longer be changed.
